When the reader is the focal point, then they’re more apt to help, support, partake or act in what you ask them to. The You-attitude more often than not motivates the reader to act toward your desired direction, makes you appear more trustworthy, and promotes a feel-good atmosphere.

It’s also important to use a strong active voice. For example, instead of writing something passive like “the goals of the company could probably use more discussion.” Write: “Let’s discuss the goals of the company further.”

Express confidence and decisiveness in your business communications.

Also, it’s generally better to write in a conversational tone. Avoid being too formal or bureaucratic. And definitely stay away from obscure company acronyms. Don’t alienate your readers. make your writing as inviting and personal as possible. Write as though you are having a conversation with one specific person—your ideal customer. Keep this one person in mind and you will positively engage thousands of readers who will feel that you are writing directly to them.

Additionally, try to avoid hyperbole. Use solid facts and reputable testimonials. Instead of writing “we’re the best,” or “there’s no other company like ours,” do some research. Write: “According to the 2018 Pew Paper Towel Industry Report, our company ranks first in all consumer survey polls.”

You also want to stay focused, be clear and get to the point. If the first graph or two doesn’t engage the reader, it’s likely they will stop reading. Be clear, concise and get to the point. Guide your reader by leading to a very specific call to action (CTA) such as “Sign up now,” or “Click here to learn more.”
