Requirements Writing Training – Specification Writing Training

Requirements Writing Training – Specification Writing Training: Requirements writing concerns composing, validating and verifying requirements, which are usually converted to technical design specifications.

Requirements may begin as high level ideas that are refined over time to become requirements specifications that are detailed enough to be created by a subject matter expert without much need for interpretation.

The term specifications extends beyond requirements specifications to detailed documentation of non-functional requirements, designs, standards, products, services, processes, methods, interfaces, practices, buildings, facilities, infrastructure, equipment, vehicles, technologies and documentation templates.

Requirement writing follows many of the same rules as all types of good writing. The key is to be clear. When you write requirements in a clear way, you are making sure that they’re going to be properly understood by your business and your technical stakeholders.

Clearer requirements tend to have fewer review cycles and validation cycles, which can be a real time and money saver.

Also make sure your writing of requirements is in the active present tense. Adding a who and a what clarifies who’s doing the action, something missing in the passive voice.

  • Passive Voice: Copies of input are saved by the system.
  • Active Voice: The system saves copies of input.

Additionally, requirement writers should avoid combining requirement descriptions, such as:

  • The systems engineer inputs data and checks it before saving.

When you clump requirements together there’s a tendency to focus on one part of the requirement and not the other parts. This can cause a business stakeholder to miss validating part of the requirement, or the technical stakeholder and tester to miss implementing part of that requirement.
